For trustees
For trustees: control, visibility and an audit trail
You sign for decisions you did not see being made. SwaDharma shows you the bids behind a purchase, the property that is earning nothing, and every receipt that was ever corrected — without giving you rights you don’t want.

What does SwaDharma give a trustee?
A trustee on Setu gets oversight without operating the counter. Inventory puts purchases above your slab in your approval queue and keeps an append-only audit trail. DMS shows rented and vacant property, pending taxes and document expiries on one dashboard. Netra offers a report-viewer role that reads collections but cannot touch receipts, and Vani has an auditor role for messages sent in the trust’s name.
Questions trustees ask
Six things you should be able to answer before the next meeting
If any of these takes a phone call to the office today, that is the gap.
“What exactly am I approving?”
Your Inventory queue shows who raised the request, the vendor bids, the budget it draws on and who has already approved. You approve or send back; your decision is stored with your name.
“Has any receipt been changed since last month?”
Netra receipts cannot be edited or deleted. Reprints and corrections go through a controlled step and are logged, so the list of exceptions is short and complete.
“Which properties earn, and which only cost tax?”
The DMS dashboard splits total, rented and vacant properties and shows pending rent, pending tax and rental income, by trust entity.
“Why was the stock figure adjusted?”
Inventory’s stock ledger is append-only. A correction is a new entry made under separation of duties, never a quiet overwrite of the old one.
“Who sent that WhatsApp in the trust’s name?”
Vani keeps per-contact message history, requires two-factor sign-in for admins, and gives an auditor role read access to what went out.
“Can the software company see our data?”
Netra support staff can only enter your account with a stated reason, and every entry is logged. In Vani, impersonation by support is recorded in the audit trail.
See everything, change nothing
The read-only and approver roles a trustee can hold
Most trustees want visibility without being able to alter records. Each app has a role for that.
| App | Role for a trustee | What you see | What you cannot do |
|---|---|---|---|
| Netra | Report viewer | Collections by service, donor, payment mode, counter and day | Issue, correct or reprint receipts |
| Inventory | Managing Trustee or Auditor (read-only) | Approval queue, budgets, 47 reports and dashboards, the audit trail | Approve a request you raised; Auditors cannot change anything |
| DMS | Custom role, per module and action | Dashboard, properties, taxes, leases, cases — documents only if granted | Download papers unless the role allows it |
| Kshetra | Viewer | Occupancy, collections, outstanding dues and audit logs | Book, cancel or refund |
| Vani | Auditor | Delivery reports and per-contact message history | Send or schedule messages |
The monthly meeting
Preparing for the trust meeting in twenty minutes, not two days
What a managing trustee can pull together from the apps, without asking the office to compile anything.
-
Property first
Open the DMS dashboard: which properties are vacant, which taxes are pending, which documents expire in the next month, and which hearings are coming.
-
Purchases waiting
Clear your Inventory approval queue, and check the kitchen and stores budgets — committed, requested and actual.
-
Collections
Read Netra’s report by service and payment mode for the month, and export it to PDF for the meeting file.
-
Exceptions only
Spot-check the logs: receipt reprints and corrections in Netra, stock corrections in Inventory. A short list is the goal.

Explore VaniCan a trustee see reports without being able to change anything?
Yes. Netra has a report-viewer role, Inventory has a read-only Auditor role, Kshetra has a viewer role and Vani has an auditor role. Each sees the data without being able to create or change records.
Can one trustee approve a large purchase alone?
Not if your slabs say otherwise. Inventory uses M-of-N committee approvals by value slab, so a large order can require two or three approvers, and the person who raised it is never one of them.
Can a receipt be deleted?
No. Netra receipts are immutable. Corrections and reprints are controlled actions that leave a log entry, which a trustee can review.
Is there one dashboard across all the apps?
Not yet. Each app has its own dashboard and sign-in today; single sign-on across the suite is on the roadmap.
Can I approve purchases from my phone?
Yes. Inventory is a responsive web app that works at phone width, so the approval queue opens in your phone’s browser.
What does a trustee need to know about 80G?
Netra prints the trust’s 80G registration number and wording on receipts; it does not file Form 10BD or issue Form 10BE. The trust remains responsible for those filings — our 80G guide lists them.

We set up your committee, your value slabs and a sample purchase, so you can approve one from your own phone during the demo.
