For devasthanams & endowment boards

Software for devasthanam and endowment boards

Large temple institutions are judged on process: who raised a purchase, who approved it, what the bids were and where the jewels are. SwaDharma records each of those as it happens, so the answer is on file before the auditor asks.

What is devasthanam software?

Devasthanam software helps a devasthanam (a temple institution run by a board or trust), devasthan or devaswom board run purchasing, stores, counters and pilgrim lodging under committee control. On SwaDharma, Inventory routes purchases through M-of-N approvals set by value, keeps a permanent bid record from reverse auctions and holds a jewellery register with weight, purity and two-person custody. Netra runs scoped counters; Kshetra books bhakta nivas (devotee lodge) rooms and dormitory beds.

Where large institutions get exposed

Six audit findings the suite is designed to prevent

Boards rarely lose money to one big fraud. They lose it to small gaps in process that nobody can prove either way. Each card is a gap, and the control that closes it.

The same officer raised and approved a purchase

In Inventory the person who raises a request can never approve it. Approval needs M of N committee members, with the number set by value slab.

  • Different slabs for ₹10,000 and ₹10 lakh
  • Approvals timestamped against each name

Nobody can show why a vendor won

Reverse auctions keep a permanent record of every bid. Awarding to anyone other than the lowest bidder (L1) requires a written reason.

  • Indents and RFQs before the auction
  • Vendor KYC with GSTIN, PAN and FSSAI; blacklisting

The jewel ledger and the strong room disagree

Every ornament gets photos, weight and purity, a QR or Code128 label and two-person custody. Verification rounds record discrepancies instead of overwriting them.

  • Sets and lots, not just single pieces
  • Discrepancy handling with a trail

A bill was paid for goods that never arrived

Invoices are three-way matched to the purchase order and the goods receipt, within a 2% tolerance, before a payment request goes forward.

  • GRN posts stock only after a certificate-of-analysis check where set
  • Budgets tracked as committed, requested and actual

Twenty counters, one blurred cash total

Netra scopes each counter operator to their own counter’s collections. Receipts cannot be edited, and every reprint or correction is logged.

  • About 40 rights in 7 permission groups
  • Gate scanners verify receipt QRs for entry and prasad

Festival nights, double-booked beds

Kshetra processes bookings for each temple one at a time, so the same bed cannot be sold twice. Unpaid holds expire on their own every five minutes.

  • Dormitory beds priced per bed per night
  • Refund slabs by days of notice, set by the board

One purchase, end to end

600 kg of ghee for the prasadam kitchen, as the auditor will see it

Prasadam is the sanctified food a temple offers and hands to devotees, so its kitchen buys in bulk. This is the trail Inventory leaves for a single high-value purchase. Every step is stored, and the audit trail is append-only.

  1. Indent from the kitchen

The kitchen supervisor raises an indent against the prasadam unit’s budget. The system shows what is committed and what is left.

  2. RFQ and reverse auction

Approved vendors with valid GSTIN, PAN and FSSAI are invited. Their bids are recorded permanently, and L1 is highlighted.

  3. Committee approval

At ₹4,26,000 the order falls in a slab that needs two of three approvers. The purchase officer who raised it cannot be one of them.

  4. Receipt, match, payment

The storekeeper posts the goods receipt; the invoice is matched to PO and GRN within 2%; the accounts officer raises the payment request.

Pilgrim lodging

Bhakta nivas and dormitory beds without the festival-night scramble

Kshetra books rooms, dormitory beds and halls for a devasthanam’s bhakta nivas (devotee lodge) and kalyana mandapam (wedding hall), online and at the front desk. Each temple gets its own branded booking page.

  • Room types, buildings, guest categories with discounts, complimentary-stay approval
  • Aadhaar, PAN, driving licence or voter ID captured at check-in — stored encrypted, shown masked
  • Bank and cash accounts, contra entries, daybook, GST summary and Tally export
  • 66 permissions across admin, booking clerk, accounts and viewer roles

FAQ

Frequently asked questions

Something else? Write to hello@swadharmasetu.com or book a demo.

Can approval rules change with the value of a purchase?

Yes. Inventory uses M-of-N committee approvals by value slab — for example one approver below a threshold and two of three above it — and the person who raised the request can never approve it.

Does SwaDharma connect to the state endowment department’s systems?

No. SwaDharma is software for the institution’s own office. It does not file returns with, or connect to, any government or endowment-department portal; it gives you the records and reports you hand over.

How are temple jewels and valuables recorded?

In Inventory’s assets and jewellery register: each item has photos, weight and purity, a QR or Code128 label and two-person custody. Periodic verification records any discrepancy rather than silently correcting it.

Can bids be edited after a reverse auction closes?

No. The bid record is permanent, and awarding the order to anyone other than the lowest bidder requires a written reason that stays on file.

Can a counter clerk see another counter’s collections?

No. In Netra a counter operator sees only their own counter’s data; accountants and report viewers see across counters according to their rights.

Does Inventory export to Tally?

Not today — Tally export for Inventory is on the roadmap. Netra and Kshetra already export to Tally. Inventory exports its 47 reports to Excel, CSV and PDF.
